Good service work is only half the job. The other half is proving it: to the surveyor, the port state officer, the charterer's inspector and your own office. We built our own system for that, and you get access to it the day we first attend one of your ships.

01 · Certificates

A certificate anyone can check from the quay

Every service form our technicians complete becomes a Certificate of Inspection, with the vessel, the units, their serials and results, the technician and the next due date. In the top corner of every page sits a QR code.

Scan it and you land on our verification page. It confirms that Vertex issued the certificate, shows the key data as it is recorded on our server and lets you download the PDF from the source. That means no doubts about a forwarded copy and no phone calls to Rotterdam.

  • Works with any phone camera; no app, no login
  • Shows completion date and "valid until", so expiry is never a guess
  • Unknown or withdrawn certificates come back as "not found"

Ships rarely arrive exactly when the agent first said. Our office follows the vessels we are booked for on AIS, with live position, speed, next port and ETA, so technicians are on the quay when she berths and the job fits inside her port stay.

Vessel particulars

Give us an IMO number and the vessel record fills itself with flag, type, class and management details from public registers. Nobody re-types your fleet list.

Equipment register

Each unit we service is kept by serial number, maker, model and position on board, with its next due date. The next quote is based on what is really there.

Service orders

One record per port call: technicians, ETA and ETD, your reference, the work lines and the documents. Nothing important lives only in an e-mail thread.

03 · On board

Built for engine rooms with no signal

Our technician app downloads the day's jobs, forms and vessel details before the gangway, so the work can be recorded in the CO₂ room or on the boat deck whether there is coverage or not. Everything syncs once the phone finds a network again.

Unit tables are filled in as the work happens, with photos of anything that needs your attention. A short typed note such as "sets 1 to 3 tested, set 4 cylinder condemned" can fill the matching rows, and the technician checks every line before submitting.

Office staff, technicians and customers use the same sign-in page and each lands in their own workspace. Two-factor authentication is available for every account.

You only see your own fleet

Portal access is tied to your company and your vessels. Role-based permissions decide who can see invoices, who can request service and who can only download certificates.

Every change leaves a trace

Records keep their history. If a certificate is ever corrected, we can show when, by whom and why, which is exactly what auditors and vetting inspectors ask about.

Quality system built in

Our ISO 9001, 14001 and 45001 management system runs in the same platform: controlled procedures, calibration of our own test equipment and technician competencies with expiry dates.
