Who is responsible

What we collect

When you use the request or contact form we receive what you type in: name, company, e-mail, phone number, vessel name and IMO number, port, ETA, the services you ticked and your message. Files you attach are checked for viruses on our own server and then stored in our document storage, with a link sent to our service inbox. If the form opens your e-mail program instead, we receive the e-mail you send.

This website does not use tracking or advertising cookies, and it does not load fonts, maps or scripts from other companies. Our web server keeps standard technical logs (such as IP address and time of the request) for security, for a limited period.

Why we use it

To answer your question, prepare a quotation and plan the service you asked for. The legal basis is the steps you ask us to take before a contract, and our legitimate interest in replying to business enquiries. We do not sell your data and do not use it for unrelated marketing.

Who else sees it

Only our own staff and the companies that host our website, e-mail and document storage on our behalf, under a processing agreement. If you become a customer, your details move into our service system so we can run the job.

How long we keep it

Enquiries that do not lead to work are deleted within 24 months. Records linked to service work and invoices are kept as long as Dutch law requires.

Your rights

You can ask to see, correct or delete your personal data, or object to how we use it, by e-mailing service@vertexsafety.nl. If you are not satisfied with our answer you can complain to the Autoriteit Persoonsgegevens.

Certificate verification

The verification page for certificates runs on our service platform (srv.vertexsafety.nl). It shows the data printed on the certificate itself and does not ask you for any personal details.
